Binghamton University Voice Mail Voice Mail Box Set Up
Once your voice mailbox is installed, it will be ready for you to use after just a few simple steps. Follow the instructions on this page to set up your mailbox.
Along with this information you should have been provided with a users guide to assist you while using your voice mailbox. Inside the users guide is a dial template for your telephone and a wallet trifold. Generally, you will not need the user's guide for basic features. Refer to the guide if you need more information when using advanced features. Place the dial overlay on your telephone and put the trifold in your wallet for reference when using the system away from your desk.
Log On To Your Mailbox. Follow the instructions "To Log On To Your Mailbox". Your mailbox number and your mailbox password are currently the same as your campus telephone extension. Record the Greetings for Your Mailbox. Follow the instructions "To Record Your Greetings". Please note that you can have both an external and internal greeting. Record Your Personal Verification. Follow the instructions "". Your personal verification simply announces your name to anyone that you have left a message for. Change the Password for Your Mailbox. Follow the instructions "". It is extremely important to change your password at this time. As you found out when you logged on to your mailbox for the first time, your mailbox number and your password are the same as your telephone number. Anyone can log into your mailbox and listen to your messages. If you forget your password, contact the Telecommunications department. Your password must be changed every 90 days. Log On To Your Mailbox (Logging On/Logging Off) Dial 7-6245 (or press your message-waiting key if you have one). Enter your five digit mailbox number followed by #.0 Enter your password followed by #. (Your mailbox number and password are the same as your campus extension number). When you are done, press 83 to log off before hanging up.
To Retrieve/Play Messages Log on to your mailbox. Press 2. This will play the message just described. To delete that message, press 76 Press 2 to play the next message, etc. Press 83 to log off when you are done. The system will only retain read messages for 7 days.
To Record Your Greetings Log on to your mailbox. Press 82 Press 1 to record your external greeting, 2 to record your internal greeting, or 3 to record a temporary greeting. Press 5, wait for the tone, and begin recording. Press # to stop. Press 2 to review your greeting. (If you want to re-record the greeting, press 76 to delete it, then press 5 to re-record it). To set the expiry date for your temporary greeting, press 9. Enter the month, day, and time, pressing # after each entry. For the current month or day, press # only. For the standard expiry time of 12:01 a.m. with any future date, press # for time. Pressing # # # sets "no expiry." To exit, press 4. SAMPLE VOICE MAILBOX GREETINGS
External Greeting: "Hello, this is of the Binghamton University department. I am either away from my desk or on the telephone. Please leave me a detailed message including your name and telephone number and I will return your call as soon as I can. If you need to speak to someone immediately, press 0 now.
Internal Greeting: (Could be less formal if you choose)"Hello, this is . I'm away from my desk. Please leave your name and number and I'll call right back. If you want to speak to the department secretary, press 0 now."
Greeting Hints: Remember to include the "Please press 0" announcement for assistance if your mailbox is equipped to do so. If you are not sure, see your department's voice mail representative or call the Telecommunications Office.Faculty might choose to include the location of their office, their office hours, and any other frequently asked questions (dates exam grades will be posted, etc.). This would help reduce the number of student calls to the department office to find out this information.If you are going to be away for an extended time, you may choose to include the expected time or date of your return.
Special Notes 1. After three consecutive unsuccessful log on attempts, the voice mail system will automatically disable the mailbox and the user will have to contact the Telecommunications department to have the mailbox re-enabled. During the time the mailbox is disabled, callers will still be able to leave messages. 2. Passwords must be changed every 90 days. The system will remind you 7 days prior to the expiration date that your password is about to expire. If the password is not changed after 90 days, the system will not allow you to play messages or use any mailbox commands until you change the password. 3. It is extremely important to the performance of the system to remember to delete messages as soon as possible after reading them. Each mailbox has only 5 minutes of storage. Once the storage limit has been exceeded, your mailbox will continue to accept new messages, but will only allow you to read and delete until you have sufficiently emptied your mailbox. 4. A personal verification should be recorded for every mailbox. Personal verification announces your name when you leave a message in someone's mailbox. It also provides a useful confirmation when leaving a message.
